For Business Owners & Administrators

The 'My Consultant' Module is available on the homescreen of your HarcourtsOne. If you can not find it, click on the 'Add More Modules To This Page>>' Button up the top right of your screen.

You can see in the screen shot below that the My Consultants Module on the home page now offers that facility to email your staff as well as SMS them.

 


Tasks


Under the Tasks menu, you can now filter Tasks on “Due Today” – this will show all tasks due today including ones that might already be overdue because they were due at 8am and it is now 10am.


Contacts (Office Groups)


Groups will now show an icon or label to indicate if a group is owned by the office or if it is your own personal group. 
The following screen shot show the two different ways you will see them.

As icons - in some places where you see groups they will show a red ‘single’ person icon to indicate the group belongs to you. The ‘twins’ icon indicates that the group is owned by your office.


 

Contacts (Grouping in Appraisal and Inspections)


Contacts can now be assigned to groups in Appraisal and Listing adding or editing.

You can see in the screen shot below that there is a Contact Groups section to the Edit Seller popup. The groups available to the user will be the same as they would get in Contacts.



So if an OA is entering a listing and needs to add the Seller as part of adding the listing, she will only see her own personal groups, or any office groups – she will not be able to access the groups of the SC who she is entering the contact for.
SC’s adding Appraisals will see their own groups and any office groups if they have been given access to that.
 


H1 Mail Merge (Completed)


You can see in the screen shot below that when you have taken more than one contact into the Letters that you now have control over printing all or some letters to these contacts. You can use the Select All or Select None to control the ticks beside each contact, or you can manually tick and un-tick and then use the Print button to output the letters that need to be printed.

Listings


i)    Excluded Chattels have been added to the Detailed Client Flyer.

ii)    Listing Catalogue now includes Landlord info for Residential For Rent listings

iii)    Change to the way Solicitor information is added to listings.
When an OA enters/edits a listing, they are now able to create a solicitor record which can then be re-used on future listings, this is a similar concept to adding Contacts as the Seller on a listing.  This solicitor record belongs to the franchise, so it is available for use on any listing at any branch within that franchise. This screen shot shows you how this new interface looks.

 

This allows a franchise to build a database of frequently used solicitors, and to be able to update information about these as required. For now this is only available to be used on the listing, but eventually we will have this information feeding through to the listing letters, and it will also be able to be used when the new trust comes out.


iv)    For countries that have the Method of Sale of ‘Tender’ this now allows a time to be entered along with the date. This behaves like the time on an Auction so depending on where you see the date throughout Harcourts One and the public websites, you may or may not also see the time.
It is not compulsory to enter a time field for a Tender like it is for an Auction.

v)    The photo edit tab will now load and show the file name for each *website* photo like we already have happening with the High Res images.


Appraisals


We have a new ‘Summary’ field on the Property Details tab of Appraisals. You can see this in the screen shot below – it allows you to keep any extra information about the property separate from the recommendations. When you produce the CMA for the appraisal, this summary information will appear above the present competition.
